Step-by-Step Guide to Digitalizing Your Business

Digitalizing a business means making information usable within a reliable workflow. Scanning paper is useful, but it does not by itself improve approvals, ownership or customer service. Start with one process that repeatedly loses time, then make the new way of working measurable. This prevents a digitalization project from turning into a collection of disconnected subscriptions.

Step 1: map the existing process

Pick a specific journey, such as a customer order or an expense claim. Record where it starts, who handles each step, what information is required and where it waits. Include exceptions such as missing details or rejected approvals. Measure a small baseline sample: elapsed time, handling time and corrections. These numbers let you distinguish improvement from the excitement of launching a new tool.

Step 2: define a usable digital record

Choose a unique reference, mandatory fields and a clear owner. Agree which location holds the authoritative record and who may edit it. Import a small cleaned sample before moving the full archive. Preserve the source material until the team verifies that dates, attachments and relationships survived. A tidy form is not sufficient if employees must still search three inboxes for its supporting evidence.

Step 3: build and test the workflow

Implement intake, assignment, approval and completion for a pilot team. Provide an exception route and a visible status. Use real but appropriately protected sample cases, including duplicates and incomplete requests. Test permissions with an ordinary user account. Confirm that a colleague can continue the work during absence. Avoid adding automation until the steps and responsibilities are stable.

Step 4: train around actual tasks

Show employees how to submit, correct, approve and find a record. Keep the instructions short enough to use during a busy day. Assign a process owner and a support contact. For an invoice workflow, explain what happens when a purchase-order reference is missing. Train on that exception as deliberately as on the normal path; otherwise people will return to informal email workarounds.

Step 5: measure and expand

Compare completion time and rework with the baseline. Review permission problems, incomplete records and user feedback. Retire the old intake route after a defined transition so information does not split across two systems. Expand to another workflow only when ownership, export and recovery are understood. Digitalization works best as a sequence of operating improvements that employees can maintain.

Frequently asked question

Should we digitize every process at once?

Usually a controlled pilot is easier to verify. Choose a recurring process with a clear owner and enough transactions to measure a meaningful change.
